Collection Leasing Plans

The Lane Libraries lease books and DVD/BLUs as a part of its collection development process for high demand, new release, and book club/event titles. Leased materials are ordered by the Collection Development Department, typically around 3 months before release date for pre-orders, and are usually added to the catalog in the 2-3 months before time-frame. Books that hit it big after release take additional time to arrive and make it out to the shelves.

2024

McNaughton (MCN)

Processing Guide / Returns

Hardcover Books: This plan is active January-December 2024.
– Physical processing includes a green band with a spine label and ownership information integrated.
– Books are received and processed by the branches, and returned to McNaughton by the branches.
– Copies are pulled in by Technical Services to be made permanent throughout the year. Margaret manages this process.
– We have a 50% retention rate during this contract term.
– Misprints and damaged books should be reported. We have a 6 month window to receive a free replacement.

Baker & Taylor (BTL)

Children’s (CATS) Books: This plan is active March 2024-February 2025.
– This plan is specifically for Summer Reading List books.
– Physical processing should be a red B&T sticker that says B&T CATS and has a paw print at the top of the spine + spine label at the bottom of the spine + ownership label on the bottom back cover, avoiding covering the UPC barcode.
– Copies are shipped to Technical Services and processed by them before being sent out to the branches.
– Contact Lucy in Tech Services for returns.
– We will NOT be making BTL CATS books permanent. All copies will be returned.

Paperback Books: This plan is active January-December 2024.
– Physical processing should be a red B&T sticker at the top of the spine + spine label at the bottom of the spine + ownership label on the bottom back cover, avoiding covering the UPC barcode.
– Copies are shipped to Technical Services and processed by them before being sent out to the branches.
– Contact Lucy for HAM/OXB/BKM when when it’s time to do returns. Contact Jenn Stapleton for FFB.
– We will NOT be making BTL paperbacks permanent. All copies will be returned.
– If we no longer own regular/permanent copies, send your last BTL copy to CJ with a note that a permanent copy needs to be ordered.

DVD/BLU: Previously used for the Lucky Day collection, these copies are now used to fill hold lists.
– We DO NOT retain any permanent copies.
– They are received, processed, and returned by Technical Services.
– Copies do not need to be sent to Technical Services–they are pulled in by dept staff when their time is up.
– If you have extra copies on your shelf that need to be returned sooner, reach out to Lucy.

– Copies are sent to Technical Services to be made permanent throughout the year.
– We have a 50% retention rate during this contract term.
– Misprints and damaged books should be reported. We have a 6 month window to receive a free replacement.

Paperback Books: This plan is active January-December 2023. It is brand new and works differently than the hardcover plan.
– Physical processing: TBD
– As with the hardcovers, books are shipped directly to the branches for processing.
– However, they are NOT returned to MCN when we are done with them. We can keep them as long as we want, with no return date.
– Copies are sent to the Sustainable Shelves Program (SSP) when they are no longer needed.
– DEC 2022: We don’t know yet if they can be made permanent. Stay tuned…

Baker & Taylor (BTL)

Hardcover Books: This plan is active January-December 2022, and discontinues for 2023. Books are received at the branches and returned by the branches. Copies are sent to Technical Services to be made permanent. Individual locations are responsible for weeding their collection when it is too full, and coordinating with other locations to share surplus copies or request surplus to fill out their own shelves.

DVD/BLU: Previously used for the Lucky Day collection, these copies are now used to fill hold lists. We DO NOT retain any permanent copies. They are received in and returned by Technical Services. Copies do not need to be sent to Technical Services–they are pulled in by dept staff when their time is up. If you have extra copies on your shelf that need to be returned sooner, reach out to Lucy.
